Set up and check your business voicemail

Set up your business voicemail greeting, check messages from your desk phone or app, and get voicemail sent to email.

Updated

Quick fix

Record a clear greeting, set a PIN if your system uses one, and turn on voicemail notifications by email or in the app so you never miss a message.

Step by step

  1. Record your greeting

Keep it short: your name or business name, that you’ll call back, and what to leave (name, number, reason).

  2. Check messages from a desk phone

Most desk phones have a Message or envelope button, and a light that shows when you have new voicemail.

  3. Check messages in the app

Business phone apps usually have a voicemail tab where you can listen, read transcriptions (if available) and call back.

  4. Turn on notifications

Turn on email or app notifications for new voicemail so messages reach you when you’re away from your desk.

  5. Keep the mailbox tidy

Delete old messages so the mailbox doesn’t fill up.

RingCentral users: from a RingCentral desk phone you can dial *86 to reach your voicemail. Greetings and notifications can be managed in the RingCentral app or your online account settings.
